Add A Person To My Lease
Yes, you are welcome to request to have an additional tenant on your lease.

No. We remind that the lease is a legal agreement. When any person on the lease requests to move-out and or be removed from the lease, this action terminates the agreement, and the lease will end for all tenants on the lease.
In a situation where one tenant wants to move-out and the other tenant wants to remain in the suite, the remaining tenant will need to sign a new lease agreement.
In this type of situation, the original lease will need to be concluded which involves a suite inspection and deposit return, subject to any damages.
Then a new lease will need to be signed along with a new suite condition inspection form, and a new damage deposit will need to be provided.

After Hours Emergency
Please note, only building tenants are provided with building keys/FOBs. Guests will not be issued a building keys or FOBs.
To replace a lost or damaged key or FOB, please provide:
- The reason the key or FOB was lost or damaged
- The type of key (e.g., building front door, mail, suite door)
- Whether or not a FOB is needed.
Lost or Misplaced Keys:
All tenants are responsible for their building and suite keys. Before contacting our office, it is the tenant’s responsibility to retrieve their key. Please arrange to retrieve your keys from where they were left. If a resident does not have their issued keys / FOB on them and requires our team to provide suite access once our office has closed for the day, the following after-hour charge is in effect, in addition to the replacement costs.
- If access can be provided remotely, a $125.00 fee will apply.
- If a team member is required to provide in-person access, a $300.00 call-out fee will apply.
The tenant agrees to the replacement fees, which will be deducted from their account.

No, tenants are not allowed to permitted, sublet or post their suite on any vacation rental website.

Communication technicians (e.g., Rogers, Shaw, Telus, etc) usually require access to locked areas of the building to set up your service.

Ending Your Lease
We have enjoyed your participation in our community, and we wish you all the best in your new adventures.
STEPS TO END YOUR LEASE:
– Provide notice
– Book the elevator and the loading area for your move-out
– Hire professional cleaners to clean the apartment
– Schedule your Condition Inspection: The end of the month can be a busy time, so scheduling your move-out, cleaners, and the condition inspection must be confirmed by no later than the 15th of each month.
HOW TO END YOUR LEASE:
Per the Residential Tenancy Act, the tenant must provide written notice to end a lease. Written notice may be submitted by request via the tenant portal or by dropping off a hard copy of the letter at our head office (1-2807 West 16th Ave. Vancouver, BC, V6K 3C5).
NOTICE:
Your notice must be received at least one clear month before the end of your lease. All lease terminations take place at the end of the month, though you are welcome to schedule your move before the end of the month. Example of one clear month notice: To end your lease on November 30th, you must provide notice on or before October 31st.
MOVE-OUT TIMES :
– All Tenants are provided a maximum of 3 consecutive hours to conduct their move.
– Moves may not occur over multiple days.
– If an elevator is required for you to move your belongings out of the building, you can book it using the Amenity Bookings link on the tenant portal or Kevington’s Neighbour Network.

If you are considering moving out of the building and into a rental suite elsewhere, prospective landlords may ask you to provide a landlord reference.
This is not an uncommon request. For Kevington to discuss your tenancy and act as your landlord reference, please follow the steps below:
- Please provide written consent to discuss your tenancy via the Tenant Portal, Doorloop.
- Once your written consent is received, please direct your prospective landlords to contact our Leasing Team at 604-736-4613 ext 5 during business hours, Monday – Friday from 9:00AM – 5:00PM.
- When called, our Leasing Team will provide your landlord reference via phone. Landlord references are not provided via letter or email.
Finances
If you would like to discuss a financial matter relating to your monthly rent, please submit a request using the tenant portal no later than ten business days before the end of the month. This will provide our office with enough time to put a plan in place to move forward, as well as for your bank to make any necessary changes.
Financial updates provided less than ten business days before the end of the month will not be accepted.
Monthly rent is withdrawn via Pre-Authorized Debit.
Please note that your bank will automatically send the monthly rent to our office on the 1st of the month.
If the first of the month falls on a weekend or a holiday, your bank will finalize this transfer on the next business day. Our office is aware of this when it happens, and no late fees will be applied.
Non-Sufficient Funds:
In the event that there are not enough funds in the account for your bank to complete the rental transfer, your bank charges a Non-Sufficient Funds fee. This fee will automatically be added to your monthly rent.
Update Your Banking Information:

– Account Holder Name
– Attach an updated VOID cheque or Bank PAD authorization matching the account from which rent will be withdrawn.
* If the new banking information is connected to a different Tenants account than the one who originally signed the Pre-Authorized Debit Form, additional time will be required to process your request as an E-signature request will be sent for the new Pre-Authorized Debit Form.
We understand that from time to time, Tenants may experience financial difficulties. Despite your honourable intentions, should you experience a financial challenge in proving your monthly rental payment please know that there are resources available to you.

Lease Alteration
Prior to moving to a different suite within the same building, we wish to ensure that all residents find the building to be a good fit. If a resident wishes to move to a new suite in the building, they may request to do so after one year of living in their previous suite.
When moving within the building, residents must follow all steps associated with ending a lease. This includes providing at least one clear month of notice to terminate their previous lease, signing a new lease, providing new deposit(s), reserving the elevator, and honouring the requirement to vacate and professionally clean their previous suite by no later than 1:00 PM on their lease end date.
When requesting to move to a different suite in the same building, the process is as follows:
1. When a suite becomes available which you are interested in moving to, please arrange a viewing with our Leasing Team.
This can be achieved via the booking calendar linked in each listing on our “Available Spaces” page. Click here to visit the “Available Spaces” page. Alternatively, you may contact our Leasing Team at leasing@kevingtonbuilding.com.
2. After your viewing, please submit an Application Form. An Application Form will be sent to you after your viewing has concluded.
3. If your Application Form is approved, you will be asked to sign a new Lease and provide a Security Deposit totalling half of the monthly rental rate.
4. Please do not forget to provide formal written notice to terminate the lease for your previous suite. This can be achieved by messaging us via Tenant Request in the Tenant Portal. Your formal notice must be provided at least one clear month in advance. For example, a message of termination provided on any day in November will effectively end the lease on December 31st.

Maintenance
To best attend and resolve the maintenance matter please provide the following information:
– Area of Suite (ex., bedroom, bathroom, kitchen, living room)
– Maintenance Description
– If possible, attach an image of the issue
As all requests must be submitted in writing, please include as many details as possible to help us better understand the request. You can also attach a picture of matter to your request.
We take this opportunity to provide you with our maintenance procedure:
1. Regular maintenance is attended to between 8:00 AM – 4:00 PM, Monday through Friday (excluding BC statutory holidays).
2. Maintenance requests are sent directly to our maintenance team, and the severity of the issue gives priority; for example, we would attend to a flood before a loose cabinet.
3. The tenant will receive a date and time range once scheduled.
Please note we cannot guarantee a specific time as our team attends to multiple properties across the Lower Mainland.
4. It is the Tenants responsibility to prepare for our entry. The Tenant does not need to be home for the service but is welcome to be.
5. Our team loves cats and dogs. If the Tenant is concerned about having the pet at home while we enter the suite, the tenant can consider having the pet out of the suite for the time range.
6. Upon entry to your suite, if time permits, our team shall inspect all plumbing systems and appliances to ensure they are in working order.
CANCELATION:
Once the Tenant has received notice of entry, our maintenance team will enter the suite to conduct the maintenance without further permission from the resident.
If the Tenant wants to change the date of entry, entry will be rescheduled to the next available date.
Please note our team books in advance, often multiple weeks, so rescheduling will delay the maintenance request.
All requests must be submitted in writing. If the tenant cancels or denies suite entry, their request will be cancelled, and the tenant will be responsible for resubmitting a maintenance request.

Should the repair personnel be denied entry into the suite on the appointed date and time, the tenant will be responsible for any cancellation fees payable with the next ensuring monthly rental payment.
EMERGENCY:
In an emergency, Kevington Building reserves the right to enter any suite without notice to preserve property and/or life.
REMINDERS:
We ensure all lightbulbs are working prior to your move-in. Once you take possession of the suite, you are responsible for ensuring that all electric light bulbs are in place and in operable condition.
Clogged drains or sinks or showers are mainly caused by Tenant hair. If a drain is clogged, the tenant must use products such as Draino or Liquid Plumber to remove the clog. Should the drain remain clogged, please submit a request using the tenant portal, and our team will be happy to investigate.
No, according to the worker safety protocol, employees must always wear shoes for foot and toe protection. Thank you.
Depending on their duty, the team may or may not use shoe covers. Shoe covers may not be worn when working on ladders or in situations that may cause a slipping danger.
Noise, Smoking and Disturbances
Living in an apartment building with various neighbours has many perks; however, if an unfortunate event occurs and you would like our office to investigate, we provide you with the following reporting steps.
Step 1:
Please remember that communal living means being part of a vibrant, pet-friendly community, and there is an accepted level of activities and pet-related noise. Though your activities may differ from those of your neighbours, please review the buildings’ quiet hours and building policies before submitting a report.
We remind you that quiet hours start at 10 PM Sunday through Thursday and midnight (12am) Friday and Saturday. During this time, dogs must not bark continuously, and visiting pets are never to be left alone in the suite. Music or loud voices should not be heard outside of your suite.
Step 2:
During the quiet hours, if your neighbours’ actions breach the the policy and cause a disturbance, please contact your city’s police non-emergency line, as they have the authority to enforce late night disturbances.
If you would like to Kevington to speak with your neighbour regarding their actions, please submit a request using the tenant portal with the following information in order for us to take further action:
- Report Type (ex. Noise, Smoking, unneighbourly behaviour).
- Date of incident.
- Time of incident.
- Location of incident (specific suite number).
- Incident Details (be as specific as possible. For example, ‘the noise could be heard the loudest when you are near the left wall near the kitchen sink in the suite. The sound only occurs on Fridays. The sound has been continuous from 9 pm – 2 am every Friday for the past three weeks.)
Step 3:
Our office can only act once we are aware of the situation. If you choose not to report an incident, our team cannot intervene. Please consider adding evidence to your report such as video or sound recordings or photos of the matter you wish to report.
After you submit your report, our team will review and respond to your concerns during regular office hours.
Once our team has been contacted, if the situation contravenes the building policy, Kevington will inform and speak with the resident that an issue of concern was raised.
Please note:
- The name of the person who submitted the report is not revealed in the first instance.
- Our priority is to bring the matter to the residents’ attention to create awareness around activities that one may not realize create a disturbance for surrounding neighbours.
- The resident may respond to the report to provide further information. In every scenario, we seek mutual respect and cooperation to resolve the matter peacefully.
- Please do not let your frustration build. If an issue arises, we remind we can only intervene once we have been informed.
Parking Violation
In the event that an unauthorized user parks in a reserved parking stall, please submit a request using the tenant portal and provide Kevington with the following information:
– Vehicle Make.
– Vehicle Model.
– Vehicle Colour.
– Vehicle Licence Plate Number.
– Reserved Parking Stall Number.
Once this information has been revived, Kevington will make a reasonable effort to identify the vehicle owner.
If the owner is not located, the vehicle will be ticketed and/or towed at the owner’s expense.
While the unauthorized vehicle is parked in the stall, we ask that you kindly park in any non-reserved parking stall until the unauthorized vehicle has vacated the reserved parking stall.
Pet Adoption Request
Every animal and every home are unique. We use this application as a starting point to assess your request better. Before placing your request through the tenant portal, please read the Pet Policy.
Step 1:
Please let us know if you have plans to attend training classes or follow a training plan with the animal:

We remind: Suites are limited to one cat and one dog OR two cats. Two dogs are not permitted to reside in a suite.
Guard or attack breeds such as Pitbulls, Rottweilers, Siberian Huskies, Staffordshire Terriers, or German Shepherds may not be brought into the Rental Unit or Building.
The dog breed must be suited to apartment living. Dog breeds that require high energy and plenty of space may not be best suited for an apartment.
Fostering a dog or cat is not allowed, regardless of whether the Tenant has been approved for a pet by the Landlord or by a fostering agency.
Step 4:
Once your pet request has been approved, prior to bringing your new pet home, a pet damage deposit is required.

Renting Parking
All parking stall rentals are available on a month-to-month basis at a monthly fee.

- One clear month’s notice.
- Parking stall end date.
- Parking stall number.

Suite Painting
Yes, however before painting the walls, a Tenant is required to submit a request using the tenant portal and receive a signed painting approval form.

– Area of the suite you wish to paint.
– Colour Name.
– Paint Brand.
– Type of paint you want to use.
Step 2:
Please provide a paint swatch (paint colour) to the Kevington Team, at the time you receive the painting form.
Step 3:
We take this opportunity to remind you that at the end of your tenancy and prior to vacating the rental suite, the tenant acknowledges that the Landlord shall employ, at the TENANT’s sole cost and expense, the Landlord’s professional painters to repaint the walls back to their original colours.
No. Kevington doesn’t offer painting services during the tenancy.

Tenant Insurance
Yes. It’s a requirement of the residential lease that residents have tenant insurance.
Each year, we ask all residents to provide proof of tenant insurance. Here’s what we need you to do:
Step 1:
Please contact your insurance provider and request a 1-page letter of proof of insurance.
Step 2:
Attach the letter below and click submit. Some things to note about Renters Insurance:
– It must be active and up to date; most insurance policies need to be renewed every 12 months.
– If you are renting a storage locker or parking stall, this should be included in your tenant insurance.
– In the summer, if you use an A/C unit, please always place a tray beneath it and inform your insurance provider, as this appliance (if not maintained) can cause significant water damage.
When you obtain tenant insurance, your provider may ask you some questions pertaining to the building.

Update Your Contact Information
To update your contact information, please open your tenant portal and follow the instructions:
- Click on your name in the top right corner of the screen.
- Click “security”.
- Type your password.
- Click on the pink button “Unlock”.
- Click edit next to your email to change the email on the tenant portal (the email will be used to send announcements to you from Kevington).
OR - Click edit next to your password to change your tenant portal password.
Please note that this will only affect your email or password for the tenant portal user, not your Kevington’s Neighbour Network user.
If you would like to update your phone number or other information, such as emergency contact, Void Cheque, etc., please submit a request using the tenant portal with the relevant information.
Visiting Pet
Yes. All visiting pets are subject to the building’s pet policy.
We kindly ask all Tenants to review the building’s pet policy before permitting a pet to visit their suite.
While visiting pets are permitted, if the pet stays on a regular and frequent basis, it may be deemed to live in the rental unit. The tenant will then need to add the pet to their lease and provide a pet deposit. Please note that visiting pets cannot be left alone at any time in the rental unit.

Visitor Parking – District Main
Building residents are encouraged to park in their stall if they are renting one.
Residents and guests that are parking in the visitor parking area must register their car in the system or use the paid parking system to avoid getting ticketed or towed.
If a resident is interested in renting a parking stall, the resident is asked to submit a request using the tenant portal.
No. All vehicles using the parkade must have valid / active insurance.
No, guest parking is available on a first come, first serve basis. As the parkade is shared between the residents’ guests and the customers of the commercial businesses guest parking stall may not be reserved in advance. Thank you.
When the gate is closed, residents must provide access for their guests. Thank you.
Between 6:50 AM – 9:30 PM
Visitors may park for up to 2-hours without registering their vehicle. If your visitor wishes to park for more than 2-hours, they are required to register their vehicle. Any vehicle parked longer than 2-hours without registering is subject to being ticketed and or towed at the owner’s expense.
Between 9:30 PM – 6:50 AM
All visitors who park at the property are required to register their vehicle. Any non-registered vehicles found in the parkade after 9:30 PM will be ticketed and or towed at the owner’s expense. Please note, the 2-hour free parking ends at 9:29 PM.
Registration Time Length:
- When your visitor registers their vehicle, they will automatically be provided with 48 hours of free parking.
- Visitors are not permitted to re-register their vehicle, until 24 hours after their parking has expired.
- A suite may register 3 x 48 hour visits per month.
For Example – if your visitor registers on a Friday at 5pm, they are permitted to park till 5pm on Sunday. Your visitor will not be able to re-register their vehicle again until 24 hours after their parking has expired. In this example, the next time your visitor may register is 5pm on Monday.

Each suite can register one guest vehicle at a time using the 48 hour pass, and up to five vehicles at a time using the 2 hour pass, as long as the unit did not use all of it’s parking passes eligibility for the month. Thank you.
Yes, to help provide visitor and customer parking at the property, Kevington and a third-party ticketing and towing company enact the City of Coquitlam’s parking regulations.
Between 6:50 AM – 9:30 PM
Visitors may park for up to 2-hours without registering their vehicle. If your visitor wishes to park for more than 2 hours, they are required to register their vehicle. Any vehicle parked longer than 2 hours without registering is subject to being ticketed and or towed at the owner’s expense.
Between 9:30 PM – 6:50 AM
All visitors who park at the property are required to register their vehicle. Any non-registered vehicles found in the parkade after 9:30 PM will be ticketed and or towed at the owner’s expense. Please note the 2-hour free parking ends at 9:29 PM.
All articles left in vehicles are at the vehicle owner’s risk.
The vehicle owner assumes all risks and liability for any and all losses, claims, costs, expenses, or damages, including personal injury of any nature whatsoever arising from or related directly or indirectly to any motor vehicle or motorbike parked in a Parking Stall by or on behalf of the vehicle owner, and for all losses, claims, costs, expenses, or damages caused by fire, vandalism, theft, or any other cause howsoever caused to any motor vehicle or motorbike parked, or to the contents brought onto or left in a parking stall during the use of the parkade.
As the guest parking is shared between the resident’s guests and the business’s customers, this is a possibility. If there are no available guest parking stalls your guest / visitor will need to find alternative parking until a stall becomes available. Thank you.

How the program works:
Step 1:
Choose a wine!
Step 2:
Place the issued wine coaster in the wine slot of the wine you choose. Please do not borrow more than one bottle per suite at a time.
Step 3:
Replace this exact bottle of wine within 48 hours. All wine bottles are available at the local liquor store. Should the liquor store not have the exact wine, please contact Kevington by creating a ticket through the Help Desk on the Tenant Portal.
Step 4:
Please be diligent; this only works on the honour system. Returning on time ensures variety and availability for others.
To obtain your wine coaster, please submit a request using the tenant portal.
By submitting a request, you authorize Kevington Building to debit a $25.00 deposit from your account for the wine coaster. You also acknowledge and agree that you shall replace a bottle of wine with an identical one within 48 hours of borrowing it.
If you fail to replace a bottle of wine within 48 hours, Kevington Building is hereby authorized, without further notice, to apply your $25 deposit towards replacing the bottle of wine on your behalf, and the issued wine coaster will be collected.
At the end of your tenancy, upon the delivery of the coaster in good condition and your account being in good standing, the $25.00 deposit will be refunded to you.
